This Privacy Policy explains how meshnmeet (“we”, “us”) collects, uses, and shares information when you use meshnmeet.com and our polling service (the “Service”). By using the Service you agree to this policy.
Who this covers
There are two kinds of people whose information we handle:
- Organizers — people who create an account to make polls.
- Participants — people who respond to a poll. Participants do not need an account; they interact with a poll because an organizer invited them or shared a link.
Information we collect
- Account information (organizers): your name, email address, and a password (stored only as a secure hash).
- Poll content: poll titles, descriptions, dates/time slots, questions/options, and settings you create.
- Participant information: the name a participant enters, their email address if they provide one or an organizer invites them, their votes/responses, and any comments they leave.
- Additional information requested at vote: an organizer may turn on an option to ask participants for extra details when they vote (for example an email address, phone number, number of guests, or other custom questions the organizer defines). This information is collected on the organizer’s behalf, is visible to that organizer, and is stored with the participant’s response. Organizers are responsible for what they ask for and how they use it.
- Co-organizers: if you invite someone to help manage a poll, we use their email address to grant access and, if they don’t have an account yet, to invite them to create one.
- Support and feedback: when you contact support or send feedback, we collect your name, email, message, and technical context (such as your plan, license, the page you came from, and browser information) so we can respond and improve the Service.
- Payment information (paid plans): payments are processed by our payment provider, Paddle, which acts as the merchant of record. We do not collect or store your full card number. We receive limited billing details such as your subscription status, plan, and card brand/last four digits.
- Technical and usage data: IP address, browser and device information, pages viewed, and log data. We use some of this for security and abuse prevention (rate limiting and CAPTCHA).
- Analytics and session-replay data: on meshnmeet.com we use Microsoft Clarity to understand how the site is used. This may include pages viewed, clicks, scrolling, and mouse movement, and anonymized recordings of your session with text and form inputs masked (see “Analytics and session replay” below).
- Cookies and similar technologies (see below).
How we use information
- To provide and operate the Service — create polls, collect votes, and show results.
- To send transactional email — poll invitations (on behalf of organizers), receipts, license keys, renewal and expiry notices, and account emails such as password resets.
- To process subscriptions and payments through Paddle.
- To keep the Service secure and prevent spam and abuse.
- To respond to your support requests and feedback, and to improve the Service.
- To comply with legal obligations.
Cookies
We use cookies that are necessary for the Service to work — for example, to keep you signed in and to run our anti-bot verification (Cloudflare Turnstile). We also use analytics/session-replay cookies set by Microsoft Clarity (see “Analytics and session replay” below). Where required by law, we ask for your consent before setting non-essential cookies, and you can decline them.
Analytics and session replay
On meshnmeet.com we use Microsoft Clarity to understand how people use the site so we can improve it. Clarity captures usage data — such as pages viewed, clicks, scrolling, and mouse movement — and can record anonymized playbacks (“session replays”) of visits. Text you type and form fields (for example names, email addresses, and votes) are masked by default and are not captured in these recordings. This data is processed by Microsoft as our provider; see the Microsoft Privacy Statement. Where required by law we ask for your consent first; you can decline, and you can also block analytics using your browser’s privacy settings or extensions. This applies to the meshnmeet.com hosted site and is not part of the self-hosted WordPress plugin.
How we share information (service providers)
We do not sell your personal information. We share it only with providers that help us run the Service, and only as needed:
- Paddle — payments, subscriptions, and tax handling (merchant of record).
- Postmark — sending transactional and invitation email.
- Cloudflare — bot protection (Turnstile) on our forms.
- Our hosting provider — to host the website and store data.
- Backup storage — encrypted/secured backups of the site and database.
- Microsoft Clarity (Microsoft) — anonymized session replay and heatmaps to improve usability (meshnmeet.com only).
- Sentry — error monitoring and diagnostics.
We may also disclose information if required by law, or to protect our rights, users, or the public.
The meshnmeet WordPress plugin (self-hosted use)
If you install the meshnmeet plugin on your own WordPress site, your polls and participant data are stored in your site’s own database — not on meshnmeet.com — and you act as the controller of that data. In that case, this policy describes our practices as the software provider; your own site’s privacy policy governs how you handle participant data. The plugin communicates limited information with meshnmeet.com to validate your license key, deliver plugin updates, and (on the free plan) display the “Powered by meshnmeet” attribution; this may include your site’s URL and license key. Email sent through the plugin uses the email configuration you set up on your own site.
How long we keep information
We keep account and poll data for as long as your account is active or as needed to provide the Service. You can delete a poll at any time; deleted polls are moved to a trash area and are permanently deleted after 90 days. We retain some records (such as billing records) as required for legal, tax, and accounting purposes. You may request deletion of your account and associated data (see “Your rights”).
Your rights
Depending on where you live (for example the EU/EEA under GDPR, or California under CCPA/CPRA), you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us at hello@meshnmeet.com. We will respond as required by applicable law. You may also update your name, email, and password on your account page.
If you are a participant and want your response or personal information removed from a specific poll, contact the organizer of that poll, or contact us and we will assist.
International transfers
We and our providers may process information in countries other than yours. Where required, we rely on appropriate safeguards for such transfers.
Children
The Service is not directed to children under 16, and we do not knowingly collect their personal information. If you believe a child has provided us information, contact us and we will delete it.
Security
We use reasonable technical and organizational measures to protect information, including encryption in transit (HTTPS), hashed passwords, and access controls. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Changes to this policy
We may update this policy from time to time. We will post the new version here and update the “Last updated” date above. Material changes may be communicated by email or a notice on the Service.
