Getting started
Create your first poll
Sign in (or create a free account), then click Create a poll. Pick a scheduling poll to find a date/time that works for everyone, or an opinion poll for any other group decision. Walk the six steps — general info, options, settings, invitations — and you’ll get a shareable link at the end.
Confirming your email address
When you sign up, we send a welcome email with a confirmation link. Clicking it confirms your address and unlocks sending invitations — a step that keeps typo’d and throwaway addresses from sending, which protects deliverability for everyone.
You can create and share polls right away; only the invitation emails wait until you confirm. Until then you’ll see a “confirm your email” banner on the create-a-poll page and your dashboard, with a Resend button. Not seeing the email? Check your spam folder, then use Resend.
Managing your account
Update your name, email, or password on the Account page, where you’ll also see your monthly poll usage and (if subscribed) your billing details. Use Log out when you’re done.
Creating & managing polls
Choosing dates and times
On the Choose dates step, tap dates on the calendar (use the arrows to change month). You can add optional time ranges per date, and toggle between the same time for every date or a different time per date. Times are shown to each participant in their own time zone.
Inviting people & sharing the link
Share the participation link directly, or invite by email on the Send invitations step (add addresses as chips). You can customise the link slug. After a poll is sent you can still invite more people from Manage — no need to recreate it.
Letting people pick one option or many
By default, participants can vote on as many options as they like — handy for finding every date that works. If you’d rather each person choose exactly one, turn on “Single choice” in the poll’s options step. Voters then see radio buttons and pick a single option. You set this per poll, so some polls can be single-choice and others open.
Capacity limits & waitlists
Need to cap how many people can take an option — say a dinner that seats 12? In the poll’s options step, turn on “Limit max participants per option” and set a maximum for each date or choice.
Once an option is full, extra “yes” votes join a waitlist instead of overbooking it. If someone drops out, the next person on the waitlist is promoted automatically, in order. Participants see how many spots are left, or that an option is full.
Collecting extra info when people vote
With a premium poll you can ask each voter for more than a yes/no. In the wizard’s premium options, add up to five custom questions — short text, email, number, or yes/no — and mark each as optional or required. There are quick presets for email, phone, and guest count.
Participants answer as they vote, and each person’s answers appear on their row in the results grid — and in your CSV/Excel export.
Embedding a poll on your website
On the confirmation step you’ll find three ways to embed: a direct link, a WordPress [meshnmeet_poll slug="your-poll"] shortcode (if you run our plugin), and an <iframe> snippet for any other site.
Sign-up sheets (Pro)
A sign-up sheet is a poll type where each option is a slot with a capacity, and people claim slots instead of just voting. Pick “Sign-up sheet (slots)” in the wizard, then add each slot as a label + capacity — leave capacity blank for unlimited.
Participants tick a slot and choose a quantity — “bring 2 dozen cookies”, “take 2 shifts”. Each slot shows how many spots are left; when it fills, extra claims are waitlisted and promoted automatically if someone releases their spot. You can see who’s covering what, add more slots later, and edit any participant’s sign-up from the admin view. Great for potlucks, rosters, and volunteer scheduling.
Letting participants comment
Turn on “Allow participant comments” in the poll’s options step to add a comment thread to the poll. Your group can then discuss the choices or suggest alternatives right on the poll page — no account needed to comment, just a name.
Reminding people who haven’t voted (Pro)
Open your poll’s Manage panel and click “Remind non-responders” to email everyone who was invited but hasn’t voted yet — in one click, each with their own link. Reminders count against your monthly invite allowance, and your analytics dashboard tracks how many people respond after a nudge.
Adding co-organizers
Invite collaborators to help run a poll by adding their email in the wizard’s Send invitations step, or later from the poll’s Manage panel. Each co-organizer helps manage the poll from their own meshnmeet account — you never share a single login. If they don’t have an account yet, they’re prompted to create one with that email, and the poll appears in their dashboard with a “Co-organizer” badge. Co-organizers can do everything except permanently delete the poll — that stays with the owner.
Custom branding on your polls (Pro)
On your Account page, upload a logo and choose an accent colour. Your polls then show your logo and recolour to your accent, and your invitation, reminder, and update emails carry the same branding — your brand, not ours. (Premium can remove the “Powered by meshnmeet” badge; Pro adds full custom branding on top.)
Exporting results to CSV or Excel
Open your poll’s results as the organizer and use the “Export results” button above the grid. Choose CSV (.csv) or Excel (.xls) — either downloads every response, plus any extra information you collected, ready to open in Excel, Numbers, or LibreOffice. Exporting is a premium feature, so the button appears when the poll owner is on Premium.
Templates & one-click duplicate (Pro)
Run similar polls often? Save any poll’s setup as a template — from the poll’s Manage panel, or on the wizard’s final step — then pick “Start from a template” when you create a new poll.
Duplicate on a poll’s Manage panel opens the wizard pre-filled from that poll, with the dates cleared so you choose fresh ones. Everything else — type, options or slots, settings, and questions — comes along.
Add poll dates to a calendar (Pro)
On scheduling polls, participants and organizers get an “Add to calendar” option that downloads an .ics file — so the dates drop straight into Apple Calendar, Google Calendar, or Outlook. Add all the proposed dates at once, or a single date from the results grid. Times are exported in UTC so they land correctly in every calendar, whatever the viewer’s time zone.
Managing a poll after it’s sent
A sent poll isn’t locked. From Manage you can rename it, add more dates or options (existing votes are preserved), invite more people, add co-organizers, and grab the share & embed codes. You can also trash a poll — trashed polls can be restored, and are permanently deleted after 90 days by an automatic cleanup. Only the poll’s owner can trash it.
Your analytics dashboard (Pro)
The analytics page shows how your polls are performing over a 30-, 90-, or 365-day window: response rate (invited people who voted), average time to respond, the best day to schedule, sign-up fill rates, and reminder lift (how many responded after a nudge). A non-responder list lets you download everyone still outstanding as a CSV. Reach it from the “View analytics” link on your My polls dashboard.
Uploading a contact list
In the wizard’s Send invitations step, choose “Upload a contact list” and pick a .csv, .xls, or .xlsx file. meshnmeet reads the email addresses out of it and adds them to your invite list, skipping any that are already there. Exports from Gmail, Outlook, Excel, and Google Sheets all work (up to 2 MB).
Connecting meshnmeet to Zapier (Pro)
With Pro you can connect meshnmeet to Zapier and automate your polls with ~8,000 other apps. On your Account page, open “Connect Zapier” and generate an API key (copy it — it’s shown once). In Zapier, add meshnmeet and paste the key when asked.
Triggers (meshnmeet → Zapier) let a Zap run when: someone responds, a new person joins a poll, a sign-up slot is claimed, a slot fills to capacity, a poll is created, or a poll is closed. Use them to append responses to a Google Sheet, post to Slack, or add first-time participants to a mailing list.
Actions (Zapier → meshnmeet) let a Zap create a poll or invite people to one of your polls from another app.
You can regenerate or revoke your key at any time from the same panel; revoking immediately stops any connected Zaps.
Voting & participants
Do participants need an account?
No. Only creating a poll needs an account — anyone with the link can vote without signing up. Each participant gets a personal link so they can come back and edit their own response.
Editing votes & results
Participants edit their own row from their personal link. As the organizer (admin) you can edit any participant’s response from the results grid. If you turned on “hide results until you vote,” voters see a clean vote form first and the full grid after they respond.
Private & anonymous polls
Two settings on the poll wizard control how much participants can see:
- Hide results until you vote: each participant sees a clean vote form first — the results grid stays hidden until they submit their own response. Use it to stop early votes from swaying later ones.
- Confidential poll: anonymizes voter names, so participants can’t see who voted for what. Only you, as the organizer, can see who’s behind each response on your results grid.
You can use either or both. Neither changes how you manage the poll — organizers always see the full picture.
Billing & plans
Plans, billing & cancelling
Free covers 3 polls/month on one site; Premium adds unlimited polls and the premium options. While we’re in beta, Premium features are free for everyone. Manage or cancel a subscription any time from your Account page — you keep access until the end of the billing period.
WordPress plugin & license
Installing the WordPress plugin
From Get the plugin, download the ZIP and upload it under Plugins → Add New → Upload on your own WordPress site. Activate it, then paste your license key under the plugin’s settings to unlock premium features on that site.
Using your license key
Your license key activates the plugin per site. If activation fails, check the key is pasted with no extra spaces and that you have an available activation seat. During beta, premium features are unlocked for everyone, so a key may not be required yet.
How do I remove the “Powered by meshnmeet” badge?
Polls on the free plan show a small “Powered by meshnmeet” link. To remove it and white-label your polls, you need an active Premium plan or plugin license:
- On your own WordPress site (plugin): go to Site Admin → Settings and tick “Remove the ‘Powered by meshnmeet’ badge from polls.” This white-labels every poll on your site.
- On meshnmeet.com (hosted): open your Account page and tick “Hide the ‘Powered by meshnmeet’ badge on my polls.”
The toggle only takes effect with an active Premium subscription or license — it’s free for everyone during the beta. On the free plan the badge is required and can’t be removed with CSS or code; please don’t attempt to hide it, as keeping it is part of our terms.
How invitation emails are sent from your site
On a WordPress site running the plugin you choose how invitations go out, under meshnmeet → Setup → Email invitations:
- Your own email service (recommended if you already send email): invitations send through your site’s SMTP — install the free FluentSMTP plugin and connect a provider like Postmark or Google Workspace. This is unlimited, and you own deliverability (set up SPF/DKIM for your domain so mail lands in inboxes).
- Through meshnmeet (no email setup at all): we send the invitations for you, from “Your Site via meshnmeet” with replies going to the organizer. It’s 30 free every month, then prepaid credit packs (which never expire). This option needs an active license. If a month’s allowance and credits run out, the extra invitations are held and the plugin tells you — buy credits, or switch to your own email service.
You can switch modes any time.
Setting up email delivery (FluentSMTP + Postmark)
WordPress’s built-in mail is unreliable and often lands in spam. If you send invitations through your own email service, we recommend the free FluentSMTP plugin connected to Postmark. One-time setup:
- Install FluentSMTP. In wp-admin, Plugins → Add New, search “FluentSMTP”, install and activate (it’s free).
- Create a Postmark account at postmarkapp.com and open (or create) a Server. Copy its Server API Token from Server → API Tokens.
- Verify your sending domain in Postmark — this is what keeps your mail out of spam:
- Postmark → Sender Signatures → Add Domain, and enter your domain (e.g. yoursite.com).
- Postmark shows two DNS records: a DKIM record (a TXT record) and a Return-Path (a CNAME, usually
pm-bounces→pm.mtasv.net). - Add those in your DNS host (your registrar/host — GoDaddy, HostGator, Cloudflare, etc.) exactly as Postmark shows them. Tip: if the host auto-appends your domain to the record name, enter just the subdomain part (e.g.
pm-bounces) so it isn’t doubled. - Optional but recommended — SPF: add
include:spf.mtasv.netto your existingv=spf1TXT record (don’t create a second SPF record). - Back in Postmark, click Verify. DNS can take a few minutes to a couple of hours.
- Create the two message streams. meshnmeet sends invitations and account/billing mail on separate Postmark message streams named
invitationsandtransactional. In your Server → Message Streams, create two streams with those exact IDs (type: Transactional). If they don’t exist, Postmark rejects the send — this is the most common reason invitations don’t go out. (Developers can instead remap the stream with themnm_postmark_streamfilter.) - Connect FluentSMTP to Postmark. FluentSMTP → Settings → Add Connection → Postmark, paste the Server API Token, and set the From address to one on your verified domain (e.g. polls@yoursite.com).
- Send a test. FluentSMTP → Email Test — send one to yourself and confirm it arrives; the Postmark Activity feed shows every send and, if one fails, exactly why.
